Overview
We are looking for someone to join our team as a workspace manager. Essentially, your job will be to create and maintain a pleasant and productive work environment across our three South African offices, ensuring high levels of comfort, safety and productivity.
The role includes aspects of both office and facilities management as it will have elements of building-related activities as well as more socially focused office ones. The objective is to create a problem-free, safe and socially cohesive environment consistent across sites where our people can work do their best work.
We need someone who is as comfortable sorting out flowers in the training room as they are changing a light fitting in the support office. A person who is as comfortable negotiating a better deal on First Aid training for our Health and Safety Reps as project managing an office move.

Responsibilities
Service as the point person for office manager duties
Order stationery and equipment
Maintain the office condition and arrange necessary repairs
Coordinate with IT department on all office equipment such as printers, access controllers etc
Manage office G&A (General and Administration) budget, ensure accurate and timely reporting
Provide general support to visitors
Address employees’ queries regarding office management issues
Support planning for in-house or off-site activities and events, like parties, celebrations and conferences
Manage housekeeping staff across all South African offices
Manage office fit-outs and renovations across all South African offices - Plan and coordinate all installations (electricity, plumbing, refurbishments etc)
Liaise with the Body Corporate of each office
Weekly reporting to Head of IT, Security and Workspaces

- Supplies: including tea, coffee, milk and Friday drinks etc.
- Equipment
- Errands
- Shopping
Order stationery and equipment
Maintain the office condition and arrange necessary repairs
- Keep space, equipment and soft furnishings clean
- Control activities like parking space allocation, waste disposal, building security etc.
- Ensure signage is clear in all buildings including parking spots
- Create a welcoming environment – for examples flowers and plants in receptions and other parts of the offices
- Consider decoration, art, paint, signage etc
Coordinate with IT department on all office equipment such as printers, access controllers etc
Manage office G&A (General and Administration) budget, ensure accurate and timely reporting
- Review utility consumption and strive to keep it minimize costs
- Manage contract and price negotiations with office vendors, service providers and office lease
Provide general support to visitors
Address employees’ queries regarding office management issues
Support planning for in-house or off-site activities and events, like parties, celebrations and conferences
Manage housekeeping staff across all South African offices
Manage office fit-outs and renovations across all South African offices - Plan and coordinate all installations (electricity, plumbing, refurbishments etc)

Requirements
- Proven experience as an office manager or front office managers
- 2+ years of managing and leading a team
- Excellent time management skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- Pro-active and takes responsibility
- Proficiency in MS Office (SharePoint, Excel, Word, PPT and Outlook in particular)
- Event planning experience is a bonus
- Must like people
- Sense of humour and a high tolerance for the ridiculous
